Job Title: Customer Service Representative

Summary:  This individual is responsible for handling all essential duties and responsibilities of inside sales and customer service.  Back up for warehouse operations.
 
Essential Duties and Responsibilities:  The essential duties and responsibilities of this position include the following (other duties may be assigned):
  • Building and maintaining excellent customer relationships;
  • Responding to all customer inquiries and requests received via incoming phone calls, faxes, e-mails, Company website and EDI per customer’s time constraint;
  • Providing technical assistance to customers (i.e., Part number identification & clarification, model code creation, customer print/drawing reading, BOM assembly creation, etc.);
  • Order entry (Manual, website, EDI, AutoOrder);
  • Quotation entry;
  • RMA entry;
  • Credit Memo creation;
  • Issuing and completing vendor returned goods authorizations;
  • Assistance in the warehouse on occasion is required. This includes pulling stock, packaging for delivery/shipment, shipping products, receiving products, putting stock in the appropriate bins and other tasks as required.
  • Purchasing including entering purchase orders on vendor’s computer systems (TOPS, P21, Extranet);
  • Assisting outside sales personnel with customer requests and quotations;
  • Supporting other departments within Triad (internal customers);
  • Expediting customer orders on a daily basis;
  • Acting as liaison between customers and vendors;
  • Handling customer objectives and resolving customer problems;
  • Taking ownership of customer orders/requests/problems from beginning to end;
  • Helping in building and maintaining vendor relationships;
  • Ongoing training on products and services provided by Triad Technologies;
  • Customer visits as required;
  • Participation in efforts to streamline and make departmental processes better;
  • Maintain professional, pleasant demeanor when working with internal and external customers.

  • Education and/or Experience – High School diploma and three or more years of related work experience.
  • Reasoning Ability – Ability to define problems, collect data, establish facts and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
  • Mathematical Skills – Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions and decimals.
  • Language Skills –Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedures manuals.  Ability to write routine and correspondence reports. Ability to effectively present information in one-on-one and small group situations, specifically to customers and other employees in the organization.

Computer Skills – To perform this job successfully, an individual should have knowledge of Microsoft Word, Excel and Outlook. Plus Commerce Center software.

  • Must have excellent interpersonal and telephone skills;
  • Ability to communicate clearly, accurately, effectively and professionally with customers, vendors and other Triad employees;
  • Technically competent and well organized;
  • Efficient Keyboarding skills.
